We would rather these were short and clear than long and clever. If anything below is ambiguous, ask us and we will tell you straight.

Booking and deposit

A booking is confirmed when we receive the $50 deposit. Until then the date stays open to everyone else.

The deposit is applied to your total, not charged on top of it. The balance is due on the day of your event.

Our rate is $175 per hour with a one-hour minimum. Time is booked in whole hours.

Changing or cancelling your booking

Give us seven days' notice or more and your deposit transfers to any other available date within twelve months. There is no fee, and you can do this once per booking.

With less than seven days' notice the deposit is forfeited. By that point we have almost certainly turned other work away for your date.

If you cancel entirely, you owe nothing beyond the deposit. We never charge the balance for an event that did not happen.

If we cancel

If we cancel for any reason within our control — equipment failure, illness, a vehicle problem — you receive your deposit back in full, refunded to your original payment method.

We will always tell you as early as we possibly can, and we will help you find another date if you want one.

Weather

The simulator sits inside an enclosed tent, so ordinary Oregon rain is not a problem and is not grounds for cancellation.

Genuinely unsafe conditions are different. High wind, lightning, snow, or ice can make an inflatable enclosure unsafe to run. Either of us may move the date on those grounds, at no cost to you and with your deposit intact, even inside the seven-day window.

We make that call on the day, and we would rather move your event than run it badly or unsafely.

The space you provide

We need roughly 15 by 18 feet of reasonably level ground, one standard power outlet, and clear access to bring equipment in. Indoors we need an 11-foot ceiling, as the enclosure stands just under 11 feet tall.

Please tell us in advance about stairs, narrow gates, long carries, or parking restrictions. None of these are usually a problem when we know about them, and most of them are a problem when we do not.

If we arrive and the space cannot accommodate the setup for reasons we were not told about, we will do everything reasonable to make it work. If it genuinely cannot be done, it is treated as a cancellation inside seven days.

Extra time on the day

If your event is going well and you want to keep going, we will extend where our schedule allows, charged at the same hourly rate in thirty-minute increments.

We cannot always say yes, because another booking may be waiting. Asking early in the evening gives us the best chance of accommodating it.

Conduct, safety, and damage

A golf club moving at speed in an enclosed space deserves respect. We will brief your guests, and we ask that they follow that briefing.

Anyone under 18 should have an adult keeping an eye on them while they play.

Normal wear is ours to absorb. Damage caused by deliberate misuse or by guests ignoring safety instructions is chargeable at repair or replacement cost, and we will show you the invoice.

We may pause or end a session if we believe someone is at risk of being hurt. We will not do this lightly, and we will talk to you before we do it wherever there is time.

Travel

Travel within the Portland metro area is included in the rate.

Events further out are usually possible with a travel fee, which we always quote before you pay anything. You will never see a travel charge you did not agree to in advance.

Photography

We sometimes photograph the setup for our own website and social media. We frame for the equipment, not for your guests.

If you would rather we did not take photographs at your event, tell us at any point, including on the day. That is the whole process, and we will not ask you why.

Payment and your information

Deposits are processed by Stripe. We never see or store your card details.

Scheduling runs through Cal.com, which holds the name, email, and event details you provide when booking. We use that information to run your event and to contact you about it, and we do not sell it or pass it to anyone else.

Balances on the day may be paid by card or another method we agree in advance.

Liability

Golf involves physical activity and a degree of ordinary risk, and guests take part on that basis.

Nothing in these terms limits our liability for death or personal injury caused by our own negligence, or for anything else that cannot lawfully be excluded.

Our maximum liability for any other claim connected with a booking is the total amount you paid us for that booking.

Changes to these terms

We may update these terms from time to time. The version that applies to your event is the one published on the date you paid your deposit.

If we change anything materially between your booking and your event, we will tell you.
